Roles for Convenors & Coordinators in the School of Psychology

Learning & Teaching Convenor

The L & T convenor is expected to :

  • Be a member of the School of Psychology Executive Advisory Committee (EAC)
  • Represent the School on Faculty of Health Sciences Learning and Teaching Committee.
  • Chair all L & T meetings
  • Ensure that the Committee fulfills the functions of the Committee as set out in the Terms of Reference adopted in 2010 and which are to be reviewed in 2011.
  • Work with the Administrative Assistant to the Committee to develop meeting Agendas and ensure that they are circulated in a timely manner.
  • Work with the Administrative Assistant to provide Minutes for all Learning & Teaching Committee meetings within 2 weeks of the meeting for circulation to the Committee members.

Infrastructure Committee Convenor

The Infrastructure Committee Convenor is expected to:

  • Be a member of the School of Psychology Executive Advisory Committee (EAC)
  • Represent the School on the Faculty of Health Sciences Facility Committee
  • Chair all meetings of the Infrastructure Committee
  • Ensure that the Committee fulfills the functions of the Committee as set out in the Terms of Reference adopted in 2010 and which are to be reviewed in 2011.
  • Work with the Administrative Assistant to the Committee to develop meeting Agendas and ensure that they are circulated in a timely manner.
  • Work with the Administrative Assistant to provide Minutes for all Infrastructure Committee meetings within 2 weeks of the meeting for circulation to the Committee members.

Research Committee Convenor

The Research Committee Convenor is expected to:

  • Be a member of the School of Psychology Executive Advisory Committee (EAC)
  • Represent the School on the Faculty of Health Sciences Research Committee.
  • Chair all meetings of the Research Committee
  • Ensure that the Committee fulfills the functions of the Committee as set out in the Terms of Reference adopted in 2010 and which are to be reviewed in 2011.
  • Work with the Administrative Assistant to the Committee to develop meeting Agendas and ensure that they are circulated in a timely manner.
  • Work with the Administrative Assistant to provide Minutes for all Research Committee meetings within 2 weeks of the meeting for circulation to the Committee members.

Year Level Coordinators

Level 1 Co-ordinator is responsible for:

  • lecture and tutorial schedule and assessment
  • Level 1 Handbook in consultation with the Student Liaison Officer
  • Queries related to enrolment for students enrolled in Level 1 courses.
  • Approval of extension to due dates for practical assignments for Level 1
  • Approval of applications for supplementary examinations on compassionate or medical grounds
  • Liaison for Special needs cases
  • Be available for consultation with students (2-3 hours a week at a designated time – otherwise by appointment)
  • Be available for consultation with tutors
  • Arrange for course SELTs in each semester
  • counsel students on academic issues
  • be available to trouble-shoot exams on the day of exam
  • ensure exam results are ready for examiners’ meetings and finalise all student final grades

  • Level 2 Handbook in consultation with the LiCs and the Student Liaison Officer
  • Queries related to enrolment for students enrolled in Level 2 courses.

  • Approval of applications for supplementary examinations on compassionate or medical grounds
  • Liaison for Special needs cases
  • Counsel students on academic issues

Honours Coordinator is responsible for:

  • Managing Honours selection process for following year from applications received, offers to be sent before the end of year. This is done with assistance from the Admin support for Honours.
  • Honours Handbook in consultation with Admin support for Honours
  • Queries related to enrolment / selection of Honours students.
  • Convening a preliminary meeting early February for all Honours students
  • Coordinating the process of linking students, projects and supervisors and sort out any discrepancies or problems.
  • Approval of applications for supplementary examinations on compassionate or medical grounds, if required.
  • Liaison for Special needs cases
  • Counselling students on academic issues
  • Convening and chairing Honours research seminars, ensureing that all students present their research
  • Ensuring that exam results are ready for examiners’ meeting and all student grades are finalised.
  • Organizing an Honours Extension Committee, chaired by Honours Coordinator
  • Provide feedback to students on results

Graduate Diploma Psychological Sciences

The coordinator of the Graduate Diploma is responsible for:

  • Managing the Intro Psychology Summer course including appointment of tutor, manage exam process including finalisation of grades.
  • Graduate Diploma Handbook in consultation with the Student Liaison Officer
  • Queries related to enrolment for prospective students and students enrolled in the program in consultation with Student Liaison Officer.
  • Liaison for Special needs cases
  • Counsel students on academic issues

B. Psychological Sciences / B. Psychology (Honours)

The coordinator of the B. Psych Sciences / B. Psychology (Honours) is responsible for:

  • Monitoring progress of students in the programs with assistance from the Student Liaison Officer
  • Managing the at Risk Program in consultation with the Faculty
  • Counselling students on academic issues
  • Queries related to enrolment for students enrolled in the programs.
  • Assessing applications to the programs from International students
  • Liaison for Special needs cases

Postgraduate Coordinator

The Postgraduate Coordinator is responsible for:

  • Monitoring the progress and wellbeing of all HDR students enrolled in the School. Currently there are approximately 77 HDR students enrolled at various stages in their PhD candidature.
  • Postgraduate Handbook – updated annually
  • The Structured Program (Core Component)
    • A 1-hour weekly seminar is prepared by the Co-ordinator, which is initially designed to orient students to their new status as HDR students. This is compulsory for all new HDR students and consists of a structured series of seminars throughout the first semester of their candidature.
  • The Annual Review
    • Annual Reviews with all HDR students are conducted in October. All reviews need to be approved and signed by the Postgraduate Coordinator.
  • Postgraduate 1-day Conference
    • Facilitate / Arrange 1-day postgraduate conference for HDR students as part of their continued professional development. The conference is held late in the year, and is open to all postgraduate students, School staff, supervisors, and VRFs.
